DUTIES AND RESPONSIBILITIES
The Front Office Supervisor is responsible and accountable for all operations in relation to the Front Desk whilst on duty. All duties and tasks performed are to be procedurally correct, timely and consistently high quality. To be flexible and willing to help as assigned by management
ADMINISTRATION
• To ensure that all guests are provided with concise and uniform information from all staff concerning the services and facilities provided by the hotel.
• Conduct himself / herself in a respectable way so as to provide a role model for junior staff.
• Ensure a high level of communication with all the departments for smooth operations including Promptly notifying housekeeping of all late check out, early check in and special requests.
• Develop thorough knowledge of the software used in the Front Office.
• Possess a working knowledge of the reservations department. Takes same day reservations and future reservations when necessary. Know cancellation procedures
• Perform cashiering tasks such as compute bills, collect payment, bill / invoice settlement, posting charges to the guest account, raising paid outs, make change for guests when requested, and foreign currency exchange
• Perform bookkeeping activities, such as balancing accounts and conducting audits
TECHNICAL RESPONSIBILITIES
• To monitor guest service personnel constantly, ensuring that at all times.
• Know cash handling procedures.
• Control the cash floats handover
• Verify the transfer of guest charges from other department
• Prepare the check out and billing for the guests.
• Settle guest account.
• Check the City Ledger with the financial Controller.
• Optimize the sales by suggestive selling
• Control the expenses of department and maintain them as low as possible within the level of service according to hotel’s philosophy.
• Change foreign currency based on the daily bank rate given by the Financial Controller.
• Balance the cash, currency, credit cards received and hand them to the accounting department.
• Help to minimize wastage, neglect, breakage and mishandling of equipments and supplies.
• Work closely with the housekeeping department in the keeping room status reports up to date and coordinates requests for maintenance and repair work
• Conducts shift briefings to ensure hotel activities and operational requirements are known
COMMERCIAL RESPONSIBILITIES
• To maintain a good reputation of the Hotel in relating to guests or visitors.
• Responsible for providing services and handle guest requests with efficient and courteous manner at all times.
• Must be able to work independently with little supervision, as well as have the ability to consider, evaluate and make sound business decisions regarding question as problem solving.
HUMAN RESOURCE RESPONSIBILITIES
• To have a good working relationship with colleagues.
• To supporting and helping to all subordinates.
• To be concerned with staff discipline and staff performance to develop skills.
• To use your supervision skills effectively to encourage and motivate staff.
• Assist in developing training and development plans for staff; assist to implement and evaluate these plans
