What You Will Do
Summary of Responsibilities
The receptionist is responsible for efficient and friendly admission of patients into the AEC. Responsible for coordinating all telephone calls for the center. Handles patient appointments system.
List of Responsibilities/Duties
- Schedule patient appointments and follow-up with reminders.
- Handle inquiries about insurances accepted, office hours, services, locations, exam fees, doctor information, etc.
- Enter patient information accurately into the computer system.
- Prepare and mail new patient packets.
- Answers calls in a prompt, professional and polite manner.
- Listen to and triage patient complaints to achieve best outcome and patient satisfaction.
- Maintains patient confidentiality at all times.
- Cooperates and communicates with all departments.
- Maintains complete and accurate records and files.
- Coordinates insurance and financial aspects of patient care with the AEC business office staff.
- Make and maintain patients and procedures schedules.
- Greets patients on their arrival at the center.
- Prepares patient charts with appropriate forms.
- Collects fees and prepare receipts. Assists patients with consent forms.
- Maintains neatness of reception area.
- Maintains stock of office supplies.
- Performs other duties as directed by the Administrator.

1. Minimum Education Requirements
High school diploma
2. Minimum Background Requirements
Able to communicate clearly and present a neat professional appearance. Fluent in verbal and written English is desired. Able to create a good impression as a friendly, empathetic, composed and efficient individual as this position has the first contact with the patient arriving at the center.
3. Minimum Demonstrated Skills
- Interacts well with staff members and physicians.
- Demonstrated listening skills.
- Skilled in operating computer and answering multi-line phone system.
- Position requires accuracy, thoroughness, and willingness to learn new computer systems, AEC operating procedures and policies.
- Demonstrates ability to operate and maintain copy machine, computer system, and other office equipments.
- Demonstrates reliability, a pleasant attitude and a willingness to perform the duties as required.
- Able to maintain and comply with patient confidentiality and integrity policy on all matters.
- Must represent AEC standards of high efficiency and professionalism.
