POSITION DESCRIPTION:
The Admin Officer who will perform administrative, bookkeeping and office support activities for XLE Group. The job holder must require strong communication skills, organization skills, and good interpersonal skills. This position will align all administrative processes from different entities under Group’s policy.
KEY RESPONSIBILITIES:
• Perform front office service including: assisting visitors professionally, redirecting or taking messages, initiate correspondence and other documents when necessary, managing incoming & outgoing mails, deliveries and packages.
• Performs general administrative duties: Ordering and maintaining relevant office services: relocations, equipment, supplies, forms, disposal of assets, parking, maintenance and security services… for effectiveness of personal duties, make sure office facilities are maintained in efficient, convenient and cost-effective manner.
• Take responsibilities for the operation, management and provision of effective administration systems and processes: Developing and maintaining filing system; maintaining usability and safety of common areas; ensuring sufficient supplies, technological and other basic equipment in working order.
• Align with HR team: Executing & monitoring group policies and procedures when employees to get on board or exit; ensuring an up-to-date knowledge of group policies, procedures and relevant services.
• Manage travel process & business trips: Ensure the trips to be well-arranged accordingly to Company Policy with transportations, air tickets, accommodation, per deem & other related issues
• Carry out any other appropriate and relevant duties as required

WORK EXPERIENCE AND QUALIFICATIONS REQUIREMENTS:
• At least 3 years of experience in related field.
• Communication skills in English and Vietnamese.
• Good interpersonal skills and attention to details.
• High degree of responsibility.
• Excellent organisational skills with ability to prioritise, multi task and meet deadlines.
• Ability to work well under pressure both independently and in a team environment.
