Reports directly to: GIT Reservations Team Leader
Office Location: Hanoi
POSITION PURPOSE
As a member of the Reservations team, the GIT Reservations Executive plays a key role to ensure that Buffalo Tours meets and exceed its goals and operates successfully. The GIT Reservations Executive will work in partnership with GIT Reservations Team Leader to execute the operational standards and requirements that will drive the customer satisfaction and productivity. This will involve the delivery of best-in-class service and memorable local experiences for the customer. Operationally, the role will be responsible for fulfilling the booking logistics, handling operational issues and continually providing feedback to management on risks and possible improvements of the ways we operate our products. You have a strong desire for structure, high organizational skills and love working according to procedures and schedules. You thrive on being meticulous and methodical.
Responsibilities
Operations
• Directly handle the logistics fulfillment for all GIT accounts
• Consistently implement the company One-Best-Ways (OBWs) processes/procedures/systems across the accounts handled and continually challenge to improve and innovate the ways we operate the services.
• Effectively cooperate with Tour Guides, Product, Sales, Customer Experience and Suppliers for seamless daily operations and overall service improvements.
• Support Product Team by participate in research operational information for new products to meet new market trends.
• Work with Supervisor to use appropriate Technology applications improve and optimize the speed of internal/external communications, problem solving and overall team performance.
Agent Service Experience
• Service all agent enquiries professionally and efficiently in a timely manner according to business expectations.
• Resolve all service issues to the end agent’s satisfaction with appropriate corrective, preventive measures and timely manner.
• Ensure all bookings, passenger details, logistic information, internal notes and supplier notes updated in the reservations system in an accurate and timely manner.
• For series booking, secure annual allotment and negotiate best rates with local hotels and suppliers in conjunction with Purchasing and Operations
• Ensure accuracy and timeliness of monthly invoices to overseas agents.
Business Acumen
• Ensure bookings run within budget.
• Introduce new or improved policies and processes to improve efficiency and ensure compliance.
• Ensure optimal and transparent assignments of suppliers and adhere to our policy on no commission taking throughout the entire operation.

• Meet and exceed the KPIs set by Team Leader.

Yêu cầu công việc :

ESSENTIAL QUALIFICATION AND EXPERIENCE
• Degree in tourism and hospitality is an advantage
• Fluent in national local language and intermediate to advanced level of written and spoken English
SKILL AND ATTRIBUTES
• Well-developed problem solving skill
• Customer centric with commitment to high standards of service delivery
• High attention to details & strong time/priority management skills
• Able to work independently or in a team environment
• Flexible rotating roster that may include late nights, weekends and early mornings and flexible with uncertainties/changing priorities and under pressure.
• Willing to travel on business when required

• Proficient with Microsoft Office applications
